Last Updated: January 19, 2026 Vancouver Notary Service (“we,” “us,” or “our”) is committed to protecting your privacy in compliance with the Personal Information Protection Act (PIPA) of British Columbia. This policy describes how we collect, use, and safeguard your personal information.

1. Information We Collect

To provide remote commissioning services, we must collect:
  • Identity Information: Full name, date of birth, and images of your government-issued photo ID.
  • Contact Information: Email address and phone number.
  • Document Data: The PDF documents you upload for notarization
  • Technical Data: IP address, browser type, and device information for security and session logging.
  • Visual/Audio Data: Live video feed during your session (Note: We do not record or store the video/audio of your session).

2. How We Use Your Information

We use your data strictly for:
  • Verifying your identity as required by the Law Society of British Columbia.
  • Facilitating the digital signing process via Dropbox Sign.
  • Processing payments through Stripe.
  • Maintaining a “Digital Audit Trail” (a legal requirement for notaries) which includes the time, date, and IP address of the signing.

3. Data Retention & Deletion

  • Session Documents: To protect your privacy, signed documents are stored for 24 hours only. After 24 hours, the files are permanently deleted from our active servers.
  • Identity Records: We retain a record of the fact that a notarization occurred (names of parties, type of document, and date) as required by notarial record-keeping standards.

4. Third-Party Service Providers

We use world-class, encrypted partners to run our service:
  • Daily.co: Powers our secure video rooms.
  • Stripe: Manages all payment data (we never see or store your credit card number).
  • Dropbox Sign: Handles the legal digital signature and audit trail.
Amazon Web Services (S3): Provides secure, encrypted cloud storage in Canada.
